Scope and who we are
This Privacy Policy describes how PoultryCore, operated by Webantico (“PoultryCore”, “we”, “us”, or “our”), handles information when you use the PoultryCore mobile application, related websites, application programming interfaces, and support services.
A farm, business, or organisation that provides you access to PoultryCore may control the operational records entered by its authorised users. In that situation, the organisation decides why the information is used, while we process it to provide and secure the service. Questions about your organisation’s records may therefore need to be directed to its PoultryCore administrator.
Information we collect
Account and organisation information
We may collect your name, phone number, email address, role, permissions, assigned farms, organisation details, and authentication records. PINs are used for authentication and are stored by our server only in securely hashed form, not as readable PINs.
Farm and operational information
PoultryCore processes the information you and other authorised users enter, including farm, flock, production, egg, feed, water, inventory, treatment, vaccination, medicine, sales, expense, staff, contact, report, and audit records. Records may include notes, dates, quantities, prices, supplier or customer details, and images selected for upload.
Device, usage, and technical information
We may receive technical information needed to operate and protect the service, such as device and app version, IP address, login and security events, sync status, diagnostic information, request timestamps, and error details. We aim to avoid collecting sensitive content in diagnostic logs.
Information from device features
If you choose to add a photo or file, PoultryCore may request access to your camera, photo library, or file picker. Access is used only to complete the action you request and can be managed through your device settings.
How we use information
We use information to:
- create and manage accounts, organisations, roles, permissions, and tenant access;
- provide farm operations, inventory, health, financial, reporting, and export features;
- store records locally when supported and synchronise authorised changes with our servers;
- authenticate users, prevent duplicate submissions, detect misuse, and protect the service;
- maintain, troubleshoot, test, and improve reliability and performance;
- respond to support, privacy, and account requests; and
- comply with applicable law and enforce our agreements.
We use information only when we have an appropriate reason, such as providing the service you or your organisation requested, protecting legitimate business and security interests, complying with legal obligations, or acting with consent where consent is required.
Offline data and synchronisation
PoultryCore is designed to support work where connectivity may be unreliable. Authorised account, tenant, and operational information may be cached on your device so the app can continue to display records and queue supported changes while offline.
Pending changes may remain on the device until a connection is available. They can include a tenant identifier, local record identifier, requested operation, record data, an idempotency key, sync attempts, errors, and timestamps. Once connectivity returns, the app may send these changes to the server and receive updated records or conflict information.
Protect your device with a passcode or biometric lock. Logging out clears local session credentials; some locally cached operational data may remain for integrity, audit, recovery, or queued-sync purposes until it is safely removed under the app’s data-management process.
How information is shared
We do not sell personal information. We may share information only as needed with:
- your organisation and authorised users, according to assigned roles, permissions, farm access, and tenant boundaries;
- service providers, such as hosting, storage, security, communications, and technical support providers that process data for us under appropriate obligations;
- professional advisers or authorities, where reasonably necessary to protect rights, investigate misuse, meet legal requirements, or respond to lawful requests; and
- a successor organisation, if we are involved in a merger, acquisition, restructuring, or sale, subject to appropriate confidentiality and notice.
Reports and exports are shared only when an authorised user chooses to generate, download, or distribute them. Your organisation is responsible for how exported files are stored and shared after download.
Retention and deletion
We retain information for as long as needed to provide the service, maintain business and production records, support audits and account security, resolve disputes, meet legal or contractual obligations, and preserve reliable backups. Retention periods vary by record type, tenant requirements, and applicable law.
Poultry records involving stock, medicine, health, sales, expenses, or audit history may be corrected or archived rather than immediately erased where deletion would compromise reconciliation, safety, fraud prevention, or legal recordkeeping. When information is no longer required, we take reasonable steps to delete or de-identify it.
How we protect data
We use administrative, technical, and organisational safeguards designed for the nature of the information and the risks involved. These include tenant-scoped access controls, role and permission checks, secure PIN hashing, authentication throttling, expiring access tokens, protected mobile credential storage, audit information, validation, and encrypted network connections in production.
No storage or transmission method can be guaranteed completely secure. You can help by keeping your PIN confidential, limiting device access, installing software updates, reviewing staff permissions, and promptly reporting suspected unauthorised access.
Your choices and rights
Depending on your location and relationship with PoultryCore, you may have the right to request access to, correction of, deletion of, restriction on, or a copy of certain personal information. You may also be able to object to certain processing or withdraw consent where processing relies on consent.
- Update available profile details in the app or through an authorised administrator.
- Manage camera, photo, and file permissions in your device settings.
- Log out to remove the active authentication session from your device.
- Contact us or your organisation’s administrator to make a data request.
We may need to verify your identity and authority before completing a request. Some requests may be limited where information must be retained for another person’s rights, farm record integrity, security, or legal compliance.
Children’s privacy
PoultryCore is a business and farm operations service and is not directed to children. Users must be legally able to use the service for their organisation. We do not knowingly collect personal information directly from children. If you believe a child has provided personal information without appropriate authorisation, please contact us.
Changes to this policy
We may update this policy as PoultryCore evolves or legal requirements change. We will publish the revised policy here and update the effective date. If a change materially affects how we handle personal information, we will provide additional notice through the app, by email, or through your organisation where appropriate.
